A more flexible way to manage users and permissions

The safeREACH User Management is being upgraded based on practical feedback and requirements from our customers. The new structure provides more precise permission settings while making everyday administration clearer and more efficient.

The upgrade introduces several improvements for administrators. End users can continue using the safeREACH mobile app, Desktop App and Cockpit as usual.

What you need to know about the upgrade

The new User Management will be rolled out automatically starting in mid-August 2026. Your organisation will receive the exact upgrade date by email.

  • No manual migration: safeREACH performs the upgrade automatically.
  • No downtime: safeREACH remains available throughout the upgrade. Only brief delays of a few seconds may occur during the migration.
  • Existing data is retained: all users, user data, assignments, notification channels and absences are transferred to the new system.
  • No changes for end users: the mobile app, Desktop App and Cockpit can be used as usual. No additional end-user training is required.
  • No additional costs: the new functions and permission options are enabled automatically and free of charge.

The visible changes mainly affect administrators working in the safeREACH Admin Interface.

A clearer and more flexible user overview

The new user overview page becomes the central place for managing users and viewing their settings. Existing search, import and export functions remain available, while new display and filtering options provide a faster overview.

  • Select which columns are displayed in the user table.
  • Arrange and sort columns according to your current task.
  • Display information such as installed apps or trigger permissions directly in the overview.
  • Filter the user list to quickly find specific groups of users.
  • Open a user to manage master data, login details, notification channels, absences and permissions on one page.

Several functions previously found under Configuration are now grouped under the new User Management menu. This makes the Configuration menu more compact and brings all user-related settings together.

More precise permissions and reusable roles

The new permission concept clearly separates two types of permissions:

  1. Trigger permissions determine which scenarios a user is allowed to trigger.
  2. Participation permissions determine which functions and modules a user can access during an active scenario.

Trigger permissions can be assigned for individual scenarios. New search and category filters make it easier to find and assign the correct scenarios, especially in organisations with many different scenarios. Administrators can also grant access to all current and future scenarios.

Participation permissions apply to the safeREACH Cockpit and mobile app. Depending on the module, administrators can enable or disable access and assign read or write permissions. These permissions can either be configured individually for a user or assigned through a reusable participation role.

Participation roles allow predefined permission sets to be assigned with a single selection. Organisations can create and name their own roles to reflect internal responsibilities, functions and processes. During the automatic upgrade, safeREACH creates roles based on the permission settings that already exist in the account.

A default participation role can also be defined. This role is assigned automatically to users who are added manually or via an import.

Bulk edits for multiple users

Bulk edits make it possible to update several users at the same time. Administrators can select individual users, all users or a filtered group directly in the user overview.

The available bulk edits include:

  • assigning participation roles to multiple users,
  • adding multiple users to recipient groups, and
  • copying permissions from a selected source user to other users.

Filters can be used before selecting users - for example, to display only users of a specific app platform or users with a particular role. Before a bulk edit is applied, safeREACH displays a confirmation step showing the selected users and the planned change.

The copy function is particularly useful when several users require the same setup. Trigger permissions, participation permissions and scenario exceptions can be transferred from a predefined source user without configuring every user individually.

Scenario exceptions for special permission requirements

Scenario exceptions are designed for users who require different permissions depending on the active scenario. A user's participation role remains the default, while a different role can be assigned for selected scenarios.

For example, a member of the IT department may use the standard participation role in most scenarios but require extended permissions for IT incidents. The same person may need full access in scenarios involving the crisis team. Scenario exceptions make it possible to define these differences without changing the user's default permissions.

  • Exceptions can be assigned to individual scenarios.
  • Scenario categories and filters make specific scenarios easier to find.
  • All scenarios without an exception continue to use the user's default participation role.
  • Existing exceptions can be copied to other users through Bulk Edits.

Scenario Exceptions are an expert setting and are only necessary when a user's responsibilities differ between scenarios.

Easier administration with more flexibility

The upgraded User Management combines flexible permission settings with simpler day-to-day administration. Customisable user lists, reusable roles, Bulk Edits and Scenario Exceptions help administrators manage even complex organisational structures more efficiently.
